The Office of Public Relations and Marketing offers photography services for University purposes. Priority is given to requests that support the University’s publications and public relations initiatives. Other requests will be handled on an “as available” basis. All requests for photography must be approved by the Assistant Vice President of Public Relations and Marketing. Only the Office of Public Relations and Marketing shall procure photography services for college sponsored events.
To request a photo shoot:
- Contact Kimberly Brothers-Caisse, ext. 8428
(Kimberly.BrothersCaisse@worcester.edu) at least 14 days prior to the event.
- Provide the following information:
**Event Name **Event Date **Event Time **Start and end time you need photography **Contact person at the event **Type of photos to be taken (candid, headshot, etc.) **Date that final photos are needed **How photos will be used |
- Will there be any attendees under the age of 18?
- Please describe event in detail. Please mention special guests.
To request an existing photo(s) from photo archives:
- Photo requests must be submitted to the Office of Public Relations & Marketing at least two weeks in advance. For each photo you select please provide the following information:
**Person, Object, Event, etc.
**Date/Year (if applicable)
**Photo Name/Number (if applicable)

Images for your department website: Please work with Kimberly Brothers-Caisse in Public Relations and Marketing, ext. 8727, about getting properly sized images for your department website.
Release forms and attribution:
Download Standard Release Form Release forms are available through the Office of Public Relations & Marketing and must be signed by the subject(s) before the image(s) can be released.* In large group portrait settings, providing assistance to the photographer, either ahead of time, if subjects are accessible, or during the photo shoot, with this task is greatly appreciated. General “atmosphere” shots do not require individual release forms. Any images used by outside organizations must include the name of the photographer and “provided by Worcester State University.”
Submitted Photos:
Submitted photos will be considered for publication providing that the images meet visual and content standards and are accompanied by appropriate release forms.

Disclaimers:
The Office of Public Relations and Marketing will do its best to adhere to scheduled photography sessions. However, circumstances may arise where the needs of the College will better served elsewhere during your event, and cancellation may be necessary. Notice of cancellation will be given as early as possible.
Please note that submission of a request does not guarantee a photographer. After your request is received and considered, the Office of Public Relations and Marketing will contact you within two business days by phone or e-mail.
Upon completion of initial photography, please allow sufficient time for the editing of your images.
Clients will only receive images as electronic files. Any costs associated with printing and/or framing of images as a gift for guests is the responsibility of the requesting department.
All work completed by Public Relations and Marketing remains the property of Worcester State University and may be used for all WSU marketing and public relations purposes.
All work completed by the WSU photographer remains the property of the Office of Public Relations and Marketing and may be used for all WSU marketing and public relations purposes.
Please give us at least 24 hour notice if your event is cancelled or postponed.
*If the person photographed is under the age of 18, a parent or legal guardian must sign a Standard Release Form. Please download from this site or call Public Relations & Marketing for a form(s). If numerous forms are needed, release form tear-off pads are available.
